How Randmar inventory synchronization affects your Shopify store

A practical guide to quantity updates, product content and the Randmar.io location.

Use Sync Product Inventory when your goal is to refresh stock quantities without replacing your product copy. A full product synchronization has a broader scope and overwrites content such as titles and descriptions. Choosing the right operation matters if you have already spent time making a product page fit your store.

Here is what to keep in mind when you manage Randmar products in Shopify, especially when stock runs out, new inventory arrives, or you have customized your catalog.

What inventory synchronization updates

Inventory synchronization updates quantities. When stock reaches zero, the connector updates the quantity only. It does not change the product status or its Online Store publication as part of that inventory update.

When inventory becomes available again, the quantity updates too, including when Randmar receives inventory from manufacturers. You do not need to republish a product simply to receive that quantity update. Keep the decision about whether a product should be visible in your store separate from the decision to refresh its stock.

This describes what the update changes, not a promise that every stock movement appears instantly. Check the result in Shopify after the synchronization finishes rather than treating the start of a sync as proof that the displayed quantity is current.

Check the product identifiers

Matching uses the MPN and/or UPC. MPN means manufacturer part number; UPC is the product barcode identifier. Review those identifiers for the exact product or variant you intend to synchronize.

If an identifier is missing or the records disagree, resolve that discrepancy before applying the update more broadly. A similar product name is not enough for your own verification. The practical question is whether the identifiers belong to the same item you expect to sell.

Look at the Randmar location

Inventory synchronization updates quantities associated with the Randmar.io location. When you check the result, inspect that location specifically. Do not interpret a change there as a change to inventory held at another location.

Choose the intended synchronization

Keep store policies separate

Treat inventory tracking, Continue selling when out of stock, and fulfillment setup as separate store settings. A request to refresh Randmar quantities is not a request to change those policies. Record your current settings when you check a product so that you can compare the result clearly.

Protect your copy before a full product sync

A full product synchronization overwrites titles and descriptions. That matters when you have replaced the original product text with your own wording, improved a title, or rewritten a description for your customers.

Before you run a full sync, save the current title and description somewhere you can retrieve them. Decide whether you actually want to refresh the product content. If you only need a quantity update, choose Sync Product Inventory instead of using a full product sync as a routine stock-refresh step.

Titles and descriptions are the specific content fields covered here. Do not use this article as a complete list of every field a full synchronization may overwrite. Confirm the scope of the operation before relying on it to preserve other customized product details.

Check one product before applying the same approach

A small, deliberate check makes the result easier to understand. Start with a product whose current content and inventory you can inspect, then follow this sequence:

  1. Record the product or variant identifiers, its title and description, its quantity at the Randmar.io location, and its current product status and publication.
  2. Choose the operation that matches your goal. Use inventory synchronization for quantities. Use a full product sync only when you intend to refresh product content too.
  3. After the operation finishes, inspect the actual quantity and content in Shopify. Compare them with the values you recorded, and check the location and publication separately.
  4. If the result is unexpected, keep that before-and-after record and clarify what happened before repeating the operation across more products.

For the wider workflow of choosing products and reviewing a synchronization, see the Randmar Workbook module on Product Selection. Keep your checks specific: the right product, the intended operation, and the resulting changes in your store.
